Planning a Side Event?

If you are organising a side event to take place alongside WCRHD 2026 (e.g. partner meetings, workshops, networking events), we ask that you notify the Congress team by completing the form below.

Providing these details helps us to:

  • Avoid scheduling conflicts with the main Congress program

  • Offer guidance where required

  • Ensure alignment with Congress activities

  • List your event on the website and within the program

Please note:

  • Side events are not part of the official Congress program unless otherwise approved

  • All costs associated with side events — including venue hire, catering, and audio visual (AV) — are the responsibility of the organiser

Onsite Meeting Room Availability

For organisers who require a space during the Congress, a dedicated meeting room will be available at the venue for small meetings, workshops, or private discussions.

Room set-up options and capacities:

  • Boardroom: 20 pax

  • Theatre: 60 pax

  • Classroom: 27 pax

  • Cabaret: 32 pax

Please note:

  • Bookings are subject to availability

  • Preferred room set-up should be indicated in your request

  • Meeting times should not conflict with key Congress sessions

  • A basic room setup will be provided

Additional services can be arranged at your own cost, including:

  • Catering

  • Audio visual (AV) equipment

  • Additional room setup or staffing
